Planning a Product Launch at a Phuket Villa: Venue, AV, Guest Flow

A villa launch trades a hotel ballroom's convenience for control: your branding, your guest list, your timeline, and a location that doubles as the set for the recap film. That control only pays off if the logistics are planned. Here is the working checklist.

1. Lock the format before the venue walk-through

Standing reception, seated dinner, demo-station format or a hybrid? Each implies a different capacity, furniture plan and flow. Bring the format to the site visit so you can map it against the actual rooms rather than guessing.

2. Design guest flow as a one-way route

Arrival and welcome → holding area with a drink → the reveal or main moment → demo or mingling → exit. Avoid routes that double back through the reveal space. At Latisha Villa the entrance, the double-height living room and the pool terrace form a natural sequence.

3. Confirm power and AV early

Stage lighting, a screen, live streaming and sound all draw power. The villa runs 3-phase electricity across 12 circuits and 1000/500 Mbps enterprise fiber, but your AV supplier still needs a load plan and a rig/de-rig window. Book the AV load-in for the morning, not two hours before doors.

4. Plan content capture as its own workstream

The launch exists twice: once live, once as assets. Assign a photographer and a video team, give them a shot list (product hero, speaker, crowd reaction, detail, exterior), and pick a clean branded backdrop for interviews. The villa's styled zones mean you do not need a separate shoot day.

5. Catering, staff and back-of-house

Outside caterers need a prep area, water, power and a bin/return plan. Agree load-in times and a discreet back-of-house route that does not cross guest flow. Confirm headcount for staff parking alongside guest and supplier vehicles.

6. Timeline and contingency

Build the run sheet backwards from the reveal moment. Add buffers: guests arrive late, speeches overrun, tropical weather moves an outdoor segment inside. Have a wet-weather version of the plan and brief the venue team on both.

7. The brief to send the venue

Date, doors and close time, guest count, format, AV and staging plan, caterer and suppliers with load-in times, content team, parking needs, and any embargo or privacy requirement. The more of this is in writing beforehand, the calmer the day.
